What Our Payroll Service Covers
Payroll involves far more than writing cheques. There are statutory deductions, government remittances, year-end reporting, and a web of provincial and federal regulations that must be followed precisely. Here is what we manage on your behalf:
Pay Processing and Deductions
We calculate gross pay for each employee based on their salary, hourly rate, commissions, or bonuses. We then apply all mandatory deductions: Canada Pension Plan (CPP) contributions, Employment Insurance (EI) premiums, and federal and provincial income tax withholdings. We also process voluntary deductions such as group benefits premiums, RRSP contributions, and union dues.
Government Remittances
After each pay run, we calculate the employer's share of CPP and EI and remit the combined employee and employer portions to the CRA on your behalf. Late or incorrect remittances trigger penalties and interest, so timing and accuracy are critical. We track your remittance schedule and ensure every payment is submitted before the deadline.
Year-End Compliance
At the end of each calendar year, we prepare and distribute T4 slips for employees and T4A slips for contractors. We file the T4 Summary with the CRA by the February 28 deadline and reconcile all payroll accounts to ensure your records match the CRA's. This process also prepares your data for seamless integration with your corporate tax return.
Records of Employment (ROE)
Whenever an employee experiences an interruption in earnings — whether through termination, resignation, layoff, or parental leave — we prepare and submit the Record of Employment to Service Canada within the required timeframe. Timely ROE filing ensures your former employees can access EI benefits without delay.
Who Benefits from Outsourced Payroll?
Outsourcing payroll makes sense for a wide range of businesses. You do not need to be a large company to benefit — in fact, small businesses often see the greatest return on investment because payroll errors at a small scale can be proportionally more damaging. Our Scarborough and GTA payroll clients include:
- Small businesses with 1 to 50 employees who lack a dedicated HR or payroll department
- Growing companies that are hiring for the first time and need payroll set up correctly from day one
- Restaurants, retail stores, and service businesses with hourly and tip-based employees
- Construction and trades companies dealing with job-site workers, overtime, and WSIB
- Professional firms that want to free up administrative time for billable work
When you combine payroll services with our bookkeeping and tax preparation, your entire financial workflow operates as a cohesive system — reducing errors, saving time, and keeping every dollar accounted for.
How We Set Up Your Payroll
Initial Consultation
We review your current payroll setup, employee count, pay frequencies, and any existing issues. If you are starting from scratch, we guide you through CRA payroll account registration.
System Configuration
We set up your payroll system with employee profiles, pay rates, deduction schedules, and direct deposit information. We verify all CRA account numbers and remittance frequencies.
First Pay Run
We process your first payroll cycle, verify every calculation, and confirm that deductions and net pay are correct before distributing payments to your team.
Ongoing Processing
On your chosen schedule — weekly, bi-weekly, semi-monthly, or monthly — we process payroll, submit remittances, and provide you with summary reports. We handle all changes throughout the year: new hires, terminations, raises, and benefit adjustments.
Frequently Asked Questions
How often do payroll remittances need to be sent to the CRA?
The frequency depends on your average monthly withholding amount. Most small businesses are regular remitters, meaning remittances are due by the 15th of the month following the pay period. Larger employers may be required to remit up to four times per month. We determine your remittance frequency during onboarding and ensure every payment is submitted on time to avoid penalties.
Can you handle payroll for both salaried and hourly employees?
Yes. We process payroll for salaried employees, hourly employees, commission-based workers, and contractors. For hourly staff, we can integrate with your time-tracking system or process timesheets you provide. We calculate regular pay, overtime, statutory holiday pay, and vacation pay according to Ontario employment standards.
What happens when an employee leaves the company?
When an employee is terminated or resigns, we calculate their final pay including any outstanding vacation pay, prepare and file the Record of Employment (ROE) with Service Canada within five calendar days, and issue their final pay stub. If the departure occurs near year-end, we also ensure their T4 slip accurately reflects all earnings and deductions for the year.
Do you handle WSIB and EHT filings?
Yes. We manage Workplace Safety and Insurance Board (WSIB) premium calculations and remittances, as well as Employer Health Tax (EHT) filings for Ontario employers. EHT applies to employers with annual Ontario payroll exceeding the exemption threshold, and the rate depends on your total payroll. We track these thresholds for you and file accordingly.
Can you set up direct deposit for our employees?
Absolutely. We set up direct deposit through your payroll system so employees receive their pay directly in their bank accounts on payday. This eliminates the need to print and distribute cheques, reduces processing time, and gives employees faster access to their funds. We handle the initial setup and any banking changes throughout the year.
